Policies

AKA...the fine print
Home → About EX2 → Policies

Racing is super fun…but we know sometimes life gets in the way.  Occasionally, you can’t attend a race that you signed up for because you get injured, your childcare plans fall through, or you just change your mind.  Very rarely, we may need to cancel an event because of really, really bad weather, COVID, etc.  We believe our policies covering these situations are extremely fair and flexible.

If You Can’t Attend a Race…

Please note that we do NOT offer cash refunds (except for pregnancy/postpartum) for EX2 Adventures events, but we do have an excellent race credit policy outlined below.

We do have race insurance available on some of our individual events at the time of registration. This insurance would allow you to request a cash refund from the insurance provider. Insurance is not available when you register for multiple races at the same time (e.g., Backyard Burn series).

If you did not purchase insurance or it was not available, and you cannot attend an event for any reason, other than for pregnancy or postpartum reasons, then you have the two options that are outlined below. Our pregnancy or postpartum policy is below.

1. Immediately transfer to another EX2 race in the same year…or defer and decide what race you want to do later. Ether way, the credit amount schedule is as follows:

  • 100% credit is provided if you cancel 30 or more days before an event.
  • 75% credit is provided if you cancel between 29 and 10 days of an event.
  • 50% credit is provided if you cancel between 9 and 1 day of an event.
  • No credit is provided after 12:00am the day before the event.

2. Transfer your entry to someone else for $10.  Transfers must be initiated at least 3 days before an event.  There are no race day transfers allowed.

For Sunday races, the deadline for a 50% credit is 12:00am on Saturday.  For Saturday races, the deadline for a 50% credit is 12:00am on Friday.

How do I transfer my registration?

For running races, XTERRA, and adventure races that use RunSignUp for registration, transfers are accomplished via your RunSignup profile.  You can either select to immediately transfer your race to another race in the same year…or defer and decide later.  Please note that deferring a race does not automatically register you for the same race next year.  You must complete your deferral.  Instructions to do so are here.

For cycling events that use BikeReg for registration, please email info@ex2adventures.com to request a transfer to another event. Transfers to another rider can be accomplished via BikeReg.

Pregnancy and Postpartum Deferral and Transfer Policy

A full 100% race credit, free race transfer to another person, or 100% refund are all available to any athlete that becomes pregnant prior to race day and chooses to not participate in the event.

A full 100% race credit, free race transfer to another person, or 100% refund are all available to any athlete up to 24 weeks following the birth of their child and chooses to not participate in the event.

To request a race credit or transfer to another racer for pregnancy/postpartum reasons, please email info@ex2adventures.com or call or text 703-338-3965.

If EX2 Cancels a Race…

EX2 Adventures reserves the right to alter, postpone, or cancel any event for safety concerns, both natural and man-made. Whenever possible, cancelled events will be rescheduled to a later date.

If WE (EX2) ever cancel or postpone a race or event in its entirety for ANY reason at ANY time, then you will have these options:

1. Attend the make-up date if one is offered;
2. Defer (i.e., receive a 100% credit); or
3. Receive a full refund (minus the processing fee that was charged when you registered).

Transfers To Another Racer

Transfers can be accomplished via RunSignUp or BikeReg, whatever is applicable to the registration. Please note the transfer deadline is 3 days before the race. There is a $10 transfer fee that is paid by the originally registered participant. Please submit any questions related to transfers to info@ex2adventures.com.

Transfers To Another Event (e.g., 5K to 10K)

Transfers to another event be accomplished via RunSignUp or BikeReg in advance of the race, whatever is applicable to the registration.  You will pay any difference in registration fee when you switch events.  Refunds will not be given for changes to events with a lower registration fee.

If you decided to switch events (distances) on race morning, please tell the team at check-in.  We use different color bibs for different distances, so it’s important that you let us know of the change. If you decide to switch distances after you start an event (e.g., switch from the 10K to the 5K), you will appear as a DNF in the results.
